A bakery in Trichy loses close to Rs 4,000 of stock every month.
Not to theft. To a freezer door that doesnt shut properly at night.
The staff member closing up at 11 pm is tired. He pushes the door, it looks shut, he leaves. By morning the cream cakes are gone.
Nobody did anything wrong on purpose. There was just no list.
The Plane That Crashed Over One Small Lock
In 1935, Boeing brought its new bomber to a US Army flight test. The Model 299. The most advanced plane of its time.
The pilot was one of the most experienced test pilots in the Army Air Corps.
Minutes after take-off, the plane stalled and crashed. Two people died.
The reason? He forgot to release one small lock on the controls.
Now here is the part most people miss. Boeing didnt redesign the plane. The Army didnt send pilots back for more training.
They gave pilots a small card. A checklist. Check these items, tick them, then take off.
That plane went on to become the B-17. Pilots flew it 1.8 million miles without a serious accident.
Same plane. Same pilots. One sheet of paper made the difference.
Your Staff Arent The Problem
Think about your own shop at 11 pm.
Your staff is tired. They want to go home. They switch off the lights but forget the AC. They lock the front shutter but the back door stays open. The cash drawer doesnt get counted. The gas cylinder valve is left on.
Each small miss costs you money.
A higher electricity bill. Spoiled stock. Cash that doesnt match and nobody can explain why.
8 out of 10 owners blame the staff when this happens. Thats the wrong target.
If a pilot with years of experience needs a checklist before every single flight, your staff member who joined 3 months ago needs one too.
The real problem is simple. Your business doesnt have a proper opening and closing checklist.
What A Good Checklist Looks Like
One sheet of paper. Thats it.
Maximum 10 points for opening. Maximum 10 points for closing. Go beyond 10 and nobody reads it properly.
Write actions, not vague instructions. "Check freezer door is fully shut" works. "Check kitchen" doesnt.
A sample opening list for a retail shop:
- Count opening cash and write the amount
- Switch on billing system and test the printer
- Check pending orders from yesterday
- Clean the counter and entrance
- Check display stock and refill gaps
- Switch on lights and AC only for the sections in use
- Count cash and match with billing total
- Switch off AC, display lights and computers
- Check freezer and fridge doors are fully shut
- Close gas cylinder valve
- Lock back door and storeroom
- Lock front shutter and check it twice
The One Rule That Makes It Work
Writing the list is the easy part. Getting staff to follow it every day is where most owners fail.
So add one rule.
Every opening and every closing, the staff member ticks the list, signs it, takes a photo and sends it to you on WhatsApp.
It takes 30 seconds.
Now the list isnt a piece of paper stuck on the wall. Its a daily report with a name on it.
A grocery store in Madurai started doing this. In the first month, their electricity bill dropped by Rs 2,800. The AC and display lights had been running overnight for months. Nobody noticed until someone had to sign that they switched them off.
Thats the power of a signature. People check properly when their name is attached.
Why Owners Resist This
Most owners think a checklist is for big companies. Or they think their staff will feel insulted.
Both are wrong.
A checklist doesnt say you dont trust your staff. It says you dont trust memory. Nobody should, including you.
And small businesses need this more than big companies. A big company can absorb a Rs 5,000 loss. For a small shop, that loss comes straight out of your profit.
Do It Tonight
Dont wait for a perfect template. Dont download some 50-point format from the internet.
Take a paper tonight. Write 10 things that must happen when you open. Write 10 things that must happen when you close.
Give it to your staff tomorrow morning. Start the WhatsApp rule the same day.
The pilots in 1935 didnt need more skill. They needed a list.
So how much is your business losing every night because nobody has one?
